How We Score Pool Service Software
Last updated October 20, 2026
In an industry full of “Top 10” lists that are often just paid advertisements, we decided to do things differently. Our goal is to provide an objective, data-driven inspection of the tools you use to run your business.
We don’t rank based on vibes. We rank based on a Weighted Feature Matrix. Here is exactly how we calculate our Expert Ratings.
1. The Weighted Feature Matrix
Not every button in a software app is created equal. Being able to switch an app to dark mode is nice, but being able to calculate the LSI (Saturation Index) so you don’t ruin a customer’s plaster is critical. To account for this, we assign a weight to every feature:
- Weight 3 (Non-Negotiable): the pillars of a professional pool business, such as an LSI calculator, bulk invoicing, offline mode, and route optimization. If a software lacks these, its score reflects that it isn’t ready for a high-volume operation.
- Weight 2 (Business Builder): features that make your life easier and help you scale, such as SMS notifications, customer portals, and equipment tracking.
- Weight 1 (Nice-to-Have): secondary features that are great to have but won’t break your business if they’re missing, such as fleet speeding alerts or barcode scanning.
2. The “Effective Yes” Rule
Software pricing can be confusing. Many companies put their best features behind “Pro” or “Enterprise” tiers.
Our rule is simple: if the software has the technical capability to do it, it gets the points. Whether the feature is included in the base price, requires an upgrade, or carries an extra monthly cost, we count it as a “Yes.” Our job is to tell you what the software can do. We leave the budget decision to you, and each product page shows which features need an upgrade or cost extra.
3. The Inspection Categories
To make our reviews easy to read, we group every feature into seven categories:
- Route Management & Scheduling: Scheduling, route optimization, GPS tracking, and re-routing.
- Billing & Payments: Invoicing, ACH and card payments, accounting sync, and late fees.
- Business Intelligence & Admin: Route profitability, labor and inventory tracking, contracts, and scorecards.
- Customer Experience: Customer portals, SMS notifications, door-hangers, and branded service reports.
- Field Operations: Checklists, work orders, customer equipment details, and photo logging.
- Water Chemistry & Chemicals: LSI calculators, dosing recommendations and costs, and chemistry logs.
- AI & Automation: AI phone assistants, chatbots, automated collections, and lead engagement.
Device apps, customer support, and training options are shown on each product page but aren’t part of the score.
4. The Innovation Bonus (The “AI Factor”)
The industry is changing. New companies are entering the space with AI phone assistants and automated lead engagement.
We don’t want to punish established software that is excellent at the basics, like routing and chemistry, just because it hasn’t built an AI chatbot yet. So we calculate a Core Grade from every category except AI & Automation.
Then we apply an Innovation Bonus of up to 5% for companies pushing the envelope with AI. This lets tech-forward newcomers climb the leaderboard without making reliable industry leaders look bad for sticking to the fundamentals.
5. Final Grade & Star Ratings
The Expert Rating you see on our product pages is the Weighted Core Score plus the Innovation Bonus, shown on a 5-star scale.
When we recommend a software, it’s because it has the under-the-hood power to support a growing pool service business.
